What actually makes a PDF large

Before compressing, it helps to know what you are compressing. In the overwhelming majority of oversized PDFs, the weight is images — usually scans. A page scanned at 600 DPI in colour can be several megabytes on its own, while the same page as text would be a few kilobytes. Embedded fonts add a fixed overhead, and documents that have been edited repeatedly accumulate revision history and orphaned objects that no longer appear anywhere on the page.

This is why compression results vary so widely between documents. A text-heavy PDF exported from a word processor is already close to optimal, and compressing it may barely change the size — there is simply nothing to remove. A scanned document is mostly image data with a great deal of redundancy, and can often shrink dramatically with no visible difference. If a compression pass barely moves the number, that usually means the file was already efficient, not that the tool failed.

The trade-off is visible in a specific way. Image compression artifacts show up first around sharp high-contrast edges — which, in a scanned document, means text. Compress far enough and letter edges soften and develop a faint halo. The practical approach is to compress, then look at the smallest text in the document at 100% zoom, since that is where degradation appears before anywhere else.

Choosing between similar-sounding tools

Several of the rest overlap in ways the names do not make obvious. Extract Pages and Split PDF both produce fewer pages than you started with, but they answer different questions: extract pulls a specific selection out into a new document and leaves the original alone, while split divides one document into multiple separate files. If you need pages 4 to 9 as a standalone file, that is extract. If you need a 200-page report broken into its ten chapters, that is split. Organize PDF is the sibling worth knowing about once you already have a merged or multi-section document — reordering, duplicating, or deleting pages within one file without re-running merge or split from scratch.

Crop and Rotate are both non-destructive to content in a way worth understanding: cropping adjusts the visible page boundary rather than deleting the content outside it, and rotation sets a display flag. This matters if you are cropping to hide something sensitive — the content is still present in the file, just not displayed. To genuinely remove information, delete the page.

Protect is about permissions, not secrecy in the abstract. Password protection on a PDF is real encryption, but it is only as strong as the password chosen.
